Reviewing in the Portal
The in-portal view is what you'll see after signing in and clicking a proposal from the Proposals menu. The same information is on the public preview link — but in-portal you also get the acceptance action at the bottom.

What the page shows

Scrolling top to bottom, you'll see:

  • Header. Who the proposal is addressed to (your company), the date we sent it, and the code we use to identify it.
  • Scope categories. Each category is a group of related services, with a short description of what it covers. This is the "what we'll do" part of the proposal.
  • Line items table. For each item: description, quantity, unit price (before VAT), VAT amount, line total. Items are grouped by their billing frequency (one-off, monthly, annual) so you can see at a glance what's a one-time charge vs. ongoing.
  • Totals. Subtotal, VAT total, grand total. The grand total is what you'll be invoiced for.
  • Bank account details. Where to send payment once you've accepted. See Payment for the full payment flow — you don't need to act on this yet.
  • Terms of cooperation. The contract part: what each side commits to, payment schedule, intellectual property, cancellation, dispute handling. Read this section in full before you accept.
  • Acceptance area. At the very bottom — the buttons or controls that record your acceptance. Covered in Accepting.

What "categories" mean

We group line items into categories so the proposal reads more like a project plan than a shopping list. For example:

  • A Website Build category might contain line items for design, development, and content migration.
  • A Hosting & Maintenance category might contain hosting, monthly maintenance, and backups.

If you'd rather see only the totals, the per-category totals sit at the foot of each category block.

Recurring vs. one-off

The line-item table flags recurring items explicitly:

  • One-off charges appear on your first invoice.
  • Monthly items start billing once we begin delivering the related service (e.g. maintenance starts once the site is live, not on the day you sign).
  • Annual items renew on the anniversary of when they began. See Renewals for how these work.

The grand total at the bottom of the proposal is everything billed for the first month or year, depending on cycle. It is not what you'll pay forever — most ongoing costs are far smaller than the up-front total.

Sharing the proposal internally

If you need a colleague's sign-off before accepting, you have two options:

  • Send them the public link + code from the proposal email — they don't need a portal account to read it.
  • Add them to your company on the portal — ask us to create an account for them under your company. They'll be able to see the proposal too.

Who can accept

Only a user with the Admin role on your company can click the accept button. Manager and Financial Specialist roles can read the proposal but not sign. If you log in and don't see the accept button, you'll need either to ask us to upgrade your role, or to ask the company's portal Admin to do the click.
